Terms and Conditions

The Client, by placing an order via online, email or phone, agrees to the terms of the rental agreement. Camp Night Lights LLC will keep a booking form and signed terms and conditions agreement on file. The Client will receive an invoice confirming their booking.

 

DEPOSIT & BOOKING: A 50% non-refundable deposit will be required at the time of booking to secure your event date and theme, payable through our secure pay system. We accept all major credit cards. The deposit will be applied towards the remaining balance. The remaining balance will be due 7 days prior to the event date. Payment not made in full on the due date will result in cancellation of the booking.

 

We reserve the right to collect charges for any damages. A detailed list of damage charges is included.

 

Minimum party booking cost is $185.

 

Confirmation of the final number of party guests and add-ons must be received no later than 14 days prior to event date. Any changes made after this time will not be considered and the original balance quoted at the time of the booking shall apply.

 

All bookings made are for a period of one night unless otherwise specified at the time of booking.

 

Prices are subject to change, however, prices quoted at the time of booking will always be honored.

 

The costs of add-ons are non-refundable.

 

Custom themes are provided at a custom fee that must be paid in full upfront and is non-refundable. Custom themes are required to be booked at least 3 weeks in advance.

 

CANCELLATIONS: Cancellations can be made 14 days prior to event date. The 50% deposit is non-refundable but may be applied towards the cost of another party if held within 60 days of the original party date. The costs of add-on items are non-refundable.

 

Camp Night Lights LLC reserves the right to cancel your party booking at any time for any reason. We will always try to give as much notice as possible. Upon any such cancellation we will refund the Client any monies paid in respect of the party booking, within 30 days, should a refund be due. Camp Night Lights LLC will not be liable to pay any compensation to the Client or any other person for any loss, damage, or expenditure arising directly or indirectly from the cancellation. Camp Night Lights LLC reserves the right to terminate the booking without notice if there is a breach of these conditions.

 

FINAL PAYMENT: All outstanding balances are due 7 days prior to the event date, payable through our secure pay system. The remaining balance is based on the agreed upon number of guests and any additional items.

 

INSURANCE: Insurance is the responsibility of the Client during the rental period. Camp Night Lights LLC is not liable for any accidents that occur during the said rental period. The Client accepts all liability when renting from Camp Night Lights LLC. The Client is responsible for the security of the equipment at all times during the rental period. Any lost, broken, damaged or destroyed equipment will be charged to the Client at full replacement value.

 

LIABILITY TO THIRD PARTIES: We strictly provide entertainment. Please be aware that children need to be supervised by a parent and/or responsible adult of legal age. Camp Night Lights LLC will not be liable for any claim for personal injury, death, loss, or damage to the property however caused. Camp Night Lights LLC has the final decision in all matters relating to these Terms and Conditions.

 

The Client assumes all liability for and agrees to defend, indemnify, hold harmless and protect Camp Night Lights LLC from and against all liability.

 

DISCLAIMER: Camp Night Lights LLC makes no representations about the suitability of the equipment for any purpose. Equipment is provided on an “as-is” basis without any warranty of any kind, including without limitation the warranties of merchantability or fitness for a particular purpose. Some jurisdictions do not allow exclusions of an implied warranty; therefore, portions of this disclaimer may not apply to you. You may have other legal rights that vary by jurisdiction.

 

DELIVERY & SETUP: A standard delivery and prep fee of $25 will be applied to all events.

 

A surcharge of $10 per tent will be applied to all 2nd floor set ups.

 

To add additional nights, a charge of $20 per tent will be applied.

 

Camp Night Lights LLC is based in Hampstead, North Carolina. Driving distances 20+ miles from our home base will be charged an additional travel fee of $1 per mile x4.

 

Party request 30+ miles will be considered based on availability.

 

Delivery times will be discussed and agreed upon prior to the day of the party.

 

Set up times will be on the day of the party between 9 a.m. and 2 p.m., at a previously agreed upon time. The average set up takes approximately 2 hours, depending on the size of the party.

 

The Client is responsible for being present to accept delivery of the equipment. We will not enter the home without an adult present to accept delivery. If the Client is a no-show on the day of set up, all fees paid will be forfeited.

 

Camp Night Lights LLC does not move any furniture. The Client is responsible for having the area cleared and ready for set up.

 

COLLECTION: Pick up times are typically between 9 a.m. to 2 p.m. the day after the party. Sunday pick ups will start at 10 a.m. to 2 p.m. The average pick up takes approximately 45 to 60 minutes, depending on the size of the party.

 

A quick inspection of all items will be completed at the time of pick up to confirm any damages. A thorough inspection will be completed during the week after your party to inspect for any damages that may have been missed in the initial inspection. At this time, an invoice will be issued to the Client for any damages and must be paid within 48 hours of receiving the invoice.

 

DAMAGES: General cleaning of all items are included in the hire price. The Client will be responsible for the cost of replacing any Camp Night Lights LLC equipment damaged due to mistreatment while at the Client’s premises. This includes breakages of teepees, frames, lights, tray table, tears/holes in teepee fabric, pillows, linens, plushies, mattresses, chalkboards, garlands, bunting, or extra cleaning needed due to stains.

 

If any item is damaged or stained an invoice will be sent to the Client and must be paid by the Client within 48 hours.

 

It is the responsibility of the Client to exercise duty of care and always supervise children with the hired equipment. Diligence must be taken with younger children on the Client’s premises and Camp Night Lights LLC’s hire equipment is not recommended for children under the age of 5.

 

DAMAGE CHARGES: The Client agrees to pay the following amounts per damaged item, should an item be damaged while on their premises.

 

  • Broken or damaged tent frame, $80 per frame

  • Broken or damaged tent cover/fabric, $50 per tent

  • Broken, damaged, or tangled string lights, $25 per set

  • Broken, damaged, or tangled bunting/garland, $20

  • Broken, damaged, or tangled tulle, $15

  • Broken, damaged, or graffitied tray table, $30 per tray

  • Nail polish and/or irrevocable stains on any item of bed linen, $20-$50 per item, depending on item  type

  • Damage to, or missing mattress, $100-$150

  • Damage to, or missing chalkboard, $20 per board

  • Damage to, or missing pillows/plushies, $50 per pillow/plush

  • Damage to, or missing lantern, $20 per lantern

  • Damage to, or missing plush throw blanket, $50 per blanket

  • Damage to, torn or missing linens, $60 per fitted sheet/encasement

 

Cost of missing or damaged additional items will be discussed at pick up.

 

PETS & SMOKE-FREE REQUIREMENTS: We ask that no pets are in or directly around the party set up area. We reserve the right to charge an additional cleaning fee of $150 for the removal of pet hair from our linens, plushies and pillows. Camp Night Lights LLC items exposed to cigarette smoke will incur an additional $150 cleaning fee.

 

OWNERSHIP: All equipment always remains the property of Camp Night Lights LLC.

 

PRIVACY: Camp Night Lights LLC will never pass on, sell, or distribute Client information to any third party.

 

PHOTOGRAPH & VIDEO RELEASE: It is agreed that Camp Night Lights LLC may display and use video and photographs from the decorating session and event for a website, promotional use, and any other non-commercial purposes deemed proper by Camp Night Lights LLC. All videos and/or photographs are subject to be shared across social media platforms for promotional purposes only. The Client, if so chooses, is responsible for advising Camp Night Lights LLC in writing of any photos or videos the Client wishes not to be publicized. Camp Night Lights LLC retains the rights to all video and photographs of the decorating process and final set up photographed by Camp Night Lights LLC and/or its affiliates. Camp Night Lights LLC has permission to place their name and logo on any photographs taken by Camp Night Lights LLC.

ENTIRE AGREEMENT: I understand that this entire agreement is between me, the Client, and Camp Night Lights LLC, its agents, or employees, and cannot be modified or changed in any way by the representations or statements of any employees of Camp Night Lights LLC or by the Client.
